How to Set Up a Zoom for Live Performance

This document outlines best practices for setting up a Zoom meeting for live performances. Every event is different but if it’s your first time performing on Zoom we encourage you to follow these steps.

Zoom events must be set up in the following way to ensure a smooth audience experience. In short you must:

• Ensure you have subscribed to an appropriate Zoom plan for your event.
• Set up a Scheduled Zoom meeting for a one-off event or a Recurring Meeting for multiple sessions.
• Configure your meeting so all attendees arrive in the Waiting Room.
• Ensure the meeting is NOT password protected
• Add only one Meeting link to “Dates, Times & Prices” in Eventotron.

Remember: Only add the URL link to Eventotron – not the whole invitation.

DIGITAL FRONT OF HOUSE

It’s important you also have a person who acts as Digital Front of House. This person could be the Technical Contact you listed in your Digital Event Registration, your producer or a generous friend. It is crucial that this person is not performing in the show. Your Digital Front of House person can be responsible for:

• Admitting audience from the waiting room into the event (including latecomers).
• Communicating with audience in the waiting room.
• Spotlighting participants.
• Responding to audience queries in the chat.
• Keeping audience muted.
